CYA Softball Fees
How are fees set?
In November, CYA Softball builds out a comprehensive budget to be approved by the CYA board of directors. Our budget is based on our registration fees and fundraising efforts during the year.
We include the Travel programs in these budgets but we stipulate that Travel programs strive for budget neutrality. Their costs per player are higher overall. Our goal is that House doesn’t subsidize Travel and Travel does not subsidize House.
CYA accepts donations but does not have a business sponsorship like other local sports programs.
What is part of the budget?
- Field maintenance: Our budget covers the cost of field maintenance for Rachel Carson, Brookfield 1 & 2, Greenbriar East, and Greenbriar West. We pay for gas and repairs for our two tractors, chalk for line marking, and the tools to do all this work. This portion is around $19 per player.
- Umpire fees: Professional umpires are used for 12U and higher games and are paid $75 per game. Teen umpires hired within our organization are paid $50 per game. This portion is around $32 per player.
- Clinics: We are paying Coach Larry Jeter and Coach Mike Vives a discounted rate to run the pitching and catching clinics. This portion is around $4 per player.
- CYA Admin Fees: $35 per player. The CYA front office pays its staff to keep the program running. This is a tax CYA Softball pays to the CYA main offices.
- Uniforms: We provide each girl with a shirt and a pair of socks. We budget $36 per player out of the registration for this.
- Fairfax County Fees: $5.50 per player. That covers field rentals and port-a-potties.
- End of Season parties: Each coach gets a $50 budget for their end-of-the-season party. This portion is around $4 per player.
- Tournament Fees: The Spring All-Star tournament is approximately $20 per player.
- Capital Improvement fund: When necessary, we fund our upgrades to facilities that we use, like Rachel Carson, Franklin, and Brookfield. These funds have been carefully built up over the past decade since our previous major projects led by John Phillips.
How does CYA Softball use fundraiser money?
We use money raised during fundraisers to purchase gear and other items needed for our season to be successful. We typically have at least two fundraising events during the season: picture day and a dining-out event (Mod Pizza/Sweetfrog). In the Spring, our funds help pay for the Spring Celebration. The funds raised during the Spring Celebration carry over to the next season.
Where does CYA Softball not spend money?
VOLUNTEERS! The volunteers in this program put in a lot of sweat equity to make the program happen. We work with Eagle Scout and Gold candidates to repair our storage sheds and create learning opportunities for the players. We leverage parent labor to fix various facilities, such as the dugouts at Brookfield and Rachel Carson.

We offer discounts on registration fees for families that volunteer to coach. Discount code is available upon request.
